Problem Solving Approach – Skilling to Reskilling

In current scenario, Problem solving approach play a vital role in eliminating risks and create a harmony within the organization, especially in HR Professions it required in every step at every level across all processes. Your success as a leader depends not only on your ability to get the job done but on your skill at accomplishing organizational objectives through others. To do the latter demands strong problem-solving skills. Leaders are increasingly being asked to resolve problems, as well as teach the same skills to their subordinates / employees.

When problems arise that interfere with the productivity or morale of the workgroup – whether people problems or organizational problems- a leader must step in and come up with the answers. Success in this area will depend upon knowledge of the personalities involved and the latitude in executing company policy and procedures, plus the quality and effectiveness of communication with the employees.

Following are few steps strategy which will improve your chances of solving problems successfully and which ultimately makes you an effective leader in the organization.

Separate the person from the problem: Let the person vent frustration or anger before you try to identify the real issue. Keep the conversation centered on fixing the problem, not on placing blame.

Address issues with Accountability & Authority: Suppress the urge to dismiss the complaint, interrupt, or defend your position or someone else’s Listen, instead, to the whole problem, then ask questions to clarify the issues before responding.

Collect all relevant Facts: Understand all the issues and those who are involved. Interview others if appropriate before responding or deciding, other viewpoints often put problems into proper perspective.

Find out Alternatives: Poll others for their opinions. Often solutions proposed by those involved will meet with less resistance than those imposed from the outside.

Decide on Action: Obtain agreement and understanding from everyone involved in the Issue or what happens next. If a clear-cut solution cannot be found, choose an acceptable alternative most likely to achieve the results you want to proceed slowly.

Make Accountable: Let everyone know who will do what by when. Develop a written action plan outlining the steps towards your goal. Define who will take responsibility for each phase of the resolution process.

Rethink and review plan periodically: Remain Flexible and open to changing people or procedures as needed to accomplish your core objectives.

Be sure to acknowledge the contribution and cooperation of those involved in resolving the problem. Give credit where credit is due. A thank – you message printed in the company newsletter/or through email means more than a memo to the personal file.

There may be issues over which you have little or no authority. If this happens, indicate that you must obtain additional information from others before responding.

Never make a promise or false statement you may not be able to back up later. Doing so will weaken your credibility as a Leader.

By considering above, your will also find that your approach towards solving problems is more systematic and more professional.
